Create sittings

You can add new sittings whenever there is a requirement for students to take an online test.

When you create a sitting, it is added to the Sittings List, so you can view its details at a future date or make changes to it, if required.

When creating a sitting you will be prompted to enter details using the Sittings Wizard, which will ask you for the following information:

  • Sitting Name & Test - the name of the sitting and test you want students to take
  • Test Start Period - the earliest and latest date and time a student can begin their test
  • Select Students - the names of the students who will be taking the test
  • Test Start Mode - the way in which the test will start.

You can monitor your progress whilst creating a sitting by viewing the Add Sittings progress bar at the top of the screen.

Sections within the Add Sittings progress bar are colour coded as follows:

  • Green – information has been successfully entered.
  • Purple – the page that is currently displayed on your screen.
  • Grey – pages where information has not yet been entered.
  • Red – information entered is invalid and should be changed, otherwise you will not be able to move to the next page in the Sittings Wizard.

In the above example, the information on the Sitting Name & Test page has been entered, the Start Test Period page is currently displayed on the screen and the last three pages of the Sittings Wizard have not had any information entered on them yet.

To add a new sitting to the Sittings List

1. Click the Sittings button from the home screen.

All existing sittings are displayed within the Sittings List.

Note: If no sittings are displayed, this is because no sittings have been created yet or because existing ones have been archived. If you follow this process, the new sitting you create will be added to this list.

2. Click the Add sitting button to display the Sittings Wizard.

To create a sitting you will need to enter information into the first four pages of the Sittings Wizard. The fifth page shows a summary of all the information you entered in the previous four pages, and is used for verification purposes.

3. Enter the Sitting name, which will identify the sitting throughout the system, including within the Sittings List.

Note: Sitting Name must be unique within the school account.

4. Click the Select Service button to display all the services available to you.

5. Within the Services List, select the service by clicking in the checkbox and clicking the Add button.

The service you just added is now displayed within the Service box.

6. Click the Next button to move to the next page of the Sittings Wizard, which is the Test Start Period page.

Notice that the first section of the Add Sittings progress bar at the top of the screen has changed colour to show that information for the Sitting Name & Test page has been successfully entered.

Within the Test Start Period page, the From Date & Time and the To Date & Time define the time range between which a student can start their test(s).

For example, if students were allocated a one-hour period on 24 May 2018 to log into the Test Lobby, starting at 10am, then the From Date & Time would be defined as 24 May 2018 at 10am and the To Date & Time would be defined as 24 May 2018 at 11am.

Note: Each Test Start Period cannot be greater than the Maximum Sitting Duration, which is defined by the System Administrator. If your sitting is for longer than the permitted number of days, then a red warning triangle will appear alongside one of the dates. When you hover your mouse over the red warning triangle, it will tell you the number of days that are contained within the Maximum Sitting Duration. Change one or both of the dates until the red warning triangle disappears. The Maximum Sitting Duration is usually set to 30 days.

7. In the Start Test Period page, define the ‘From’ details by clicking the Date button and Time button alongside the ‘From’ box.

The ‘From’ date is the earliest date and time the test can start.

Note: The ‘From’ date cannot be set to a date in the past.

8. Define the ‘To’ details by clicking the Date button and Time button alongside the ‘To’ box.

The ‘To’ date is the latest date and time students can start their test.

9. Click the Next button to move to the next page in the Sittings Wizard, which is the Students page.

Notice the following details on the screen:

  • The Test Start Period section within the Add Sittings progress bar has changed from purple to green to show that the information on that page has been successfully entered.
  • The Credit status bar is displayed, showing the number of credits that are available within the selected service.

10. Ensure there are enough remaining credits for each student to take a test. You will need one credit for each student taking a test. If you do not have enough credits, contact the Renewals Team.

Note: If not enough credits are available the sitting can still be saved as a Draft sitting.

When you have enough credits you can edit the sitting and then save it, at which point the credits will be taken for each student taking a test.

11. Click the Add Individuals button to display all the students within the Student List.

Find the students who will be taking the test, using any method including sorting, searching or using the Refine Search option.

If a Load More button is displayed at the bottom of the Student List, this means not all students are currently displayed on the screen. Click the Load More button to display the next 100 students.

12. Select the students who will be taking the test, and then click the Add button

The students you have just added are now displayed on the Students page of the Sittings Wizard and the number of credits within the Credit status bar has been reduced by the number of students you have just added.

13. Click the Next button to move to the next page in the Sittings Wizard, which is the Test Start Mode page.

14. In the Test Start Mode page, select one of the following options, which defines how the test is started:

  • Manual Test Start - Students can log into the Test Lobby within the Test Start Period; however, the tests are locked until a Testwise user (Teacher or School Administrator) starts the test manually by clicking the Start test button from within the Sittings area. See Start tests manually (page 53) for details about how to find the Start test button.
  • Automatic Test Start - Students can log into the Test Lobby and start their tests any time within the Test Start Period. See Start tests automatically (page 56) for additional details about how this feature operates.

Summary page

15. Click the Next button to display the Summary page.

Notice that all the sections in the Add Sittings progress bar at the top of the screen have changed colour to demonstrate that you have successfully entered all sitting details.

16. In the Summary page, check that all the details of the sitting you just created are correct.

If you want to change any sitting details, click the Back button until you find the information you want to change. Change the information as required, and then click the Next button until you reach the Summary page again.

17. To save all the information you entered in the previous four pages of the Sittings Wizard, you will need to click either the Save Draft button or the Save Sitting button, depending upon your requirements.

  • Clicking the Save Draft button saves the sitting details without reducing your total number of credits. The number of credits for this sitting will only be subtracted from your total number of credits when you click the Save Sitting button.
  • Clicking the Save Sitting button saves the sitting details and reduces your credits by the number of students taking tests in the sitting.

The sitting you have just created will now be displayed within the Sittings List

18. To return to the home screen, click the Home button.

View the sittings list

You can view all the sittings that have been created and saved within your system by displaying the Sittings List.

You can search for a specific sitting name by entering it in the Search box , which is displayed at the top of the Sittings List.

You can change the order in which sittings are listed by sorting the Sittings List in a different order to the one that is displayed, using the Ascending Sort and Descending Sort buttons that are displayed in the header of some columns.

To view the Sittings List

1. Click the Sittings button from the home screen.

All existing sittings are displayed within the Sittings List.

Note: If there are no sittings displayed, this is because they have not been added to your system yet or because they have all been archived. You can add sittings to the Sittings List by creating sittings.

If a Load More button is displayed at the bottom of the Sittings List, this means not all sittings are currently displayed on the screen. Click the Load More button to display the next 100 sittings.

2. View details about each sitting by examining the information within each column. See Understand sitting details (page 61) for specific information about each column.

3. If you want to find a sitting with a specific sitting name, then you can enter the name of it in the Search box , which is displayed at the top of the Sittings List.

4. If you want to change the order in which sittings are displayed, click the Ascending Sort and Descending Sort buttons displayed alongside specific column headings to sort the list in a different order.

5. To return to the home screen, click the Home button.

View details of a sitting

To view details of a sitting

1. Click the Sittings button from the home screen.

All existing sittings are displayed within the Sittings List.

2. Find the sitting you want to view and click the Actions button displayed alongside it.

The Edit button (and the Download Access Codes button) now replace the Sitting Name in the first column.

Note: If you clicked the Show Actions button on a sitting that does not have a Live or Draft status, the additional button(s) will not be displayed.

3. Click the Edit button to display the Sittings Wizard.

4. Within the Sittings Wizard, view details of the sitting by clicking the Next button and Back button to move between the five pages. See Understand sitting details (page 61) for information about each box that is displayed within each page.

Note: If you cannot click Next on the Test Start Period page, you will need to amend one or both of the dates before you can continue.

5. Click the Cancel button to return to the Sittings List.

6. To return to the home screen, click Home button.

Change details of a sitting

Once you have created a sitting  you can view its details, if it has a status of Live or Draft displayed within the Sittings List. You cannot change details of a sitting if it has a status of Expired, Closed, Started or Completed. You also cannot edit a sitting if a pupils is logged into the Test Lobby, even if the test has not been started yet by any pupil.

To change details of a sitting

1. Click the Sittings button  from the home screen.

All existing sittings are displayed within the Sittings List.

2. Find the sitting you want to change and click the Actions button displayed alongside it.

The Edit button and the Download Access Codes button now replace the Sitting Name in the first column.

Note: If you clicked the Show Actions button on a sitting that does not have a Live or Draft status, the additional button(s) will not be displayed.

3. Click the Edit button to display the Sittings Wizard.

4. Within the Sittings Wizard, click the Next button to find the page that contains the details you want to change. See Understand sitting details (page 61) for information about each box that is displayed within each page.

Note: If you cannot click Next on the Test Start Period page, you will need to amend one or both of the dates before you can continue.

5. Make changes to the sitting as required.

6. Click the Next button until you reach the Summary page.

7. Click the Save Sitting button. If you added any students, the number of credits is reduced by the number of students you added to the sitting.

The sitting you have just changed will be displayed at the top of the Sittings List, and the Last Modified date for the sitting will be updated.

8. To return to the home screen, click Home button.

Download student login details

In order for each student to log into the Test Lobby to complete the tests that have been allocated to them, they will need their student login details.

Rather than using user names, email addresses or passwords to log into the Test Lobby, students will use a unique eight-digit number. The access code is a mixture of letters and numbers - 6 numbers and 2 letters per access code.

Student login details contain the following information for each student:

  • Name - student name
  • Student Access Code - a unique eight-digit code that is generated for each student and sitting. You can also view each student’s Access Code by monitoring student progress.
  • Sitting Name - the name of the sitting
  • Date - the earliest date and time that the test can begin. This is the From date and time of the Test Start Period.
  • Test(s) - the name of the test(s) the student will be completing
  • URL - the web address to enable students to log into the Test Lobby

Once you have created a sitting, you can download, save or print a .csv file containing the login details for all the students within that sitting. The .csv file contains the access codes and student details in a table format.

Once the student has been given their login details, the Test Start Period has begun and the test has started in Testwise (automatically or manually), the student can log into the Test Lobby, click the Start test button and begin answering questions.

Note: You can only download student login details for sittings that have a status of Live. You cannot download student login details for sittings that have a status of Draft, Expired, Closed or Completed.

To download student login details

1. Click the Sittings button  from the home screen.

All existing sittings are displayed within the Sittings List.

2. Find the sitting that contains the student login details that you want to download.

3. Click the Actions button  displayed alongside the sitting name.

The Edit button and the Download Access Codes button now replace the Sitting Name in the first column.

4. Click the Download Access Codes button to download the student login details for the selected sitting. There are two options for downloading access codes - one as pdf and one as csv.

5. The .csv file will provide a table format similar to the example below:

6. You can either save this file, if you have not already done so, or print it.

7. Close the .csv file when you have finished working with it and close the software that was used to display the file.
